# Hygienist Solutions Privacy Policy

Hygienist Solutions LLC ("Hygienist Solutions," "we," "us," or "our") operates the Hygienist Solutions mobile application, website, online store, and related staffing and business services (collectively, the "Services"). Our website and online store are powered by Shopify.
This Privacy Policy explains what information we collect or process, how we use and disclose it, and the choices available to users and website visitors. The mobile app connects dental professionals with dental offices for temporary, part-time, and full-time staffing opportunities. The website may provide information, contact forms, products, payment options, or other online services.
If there is a conflict between this Privacy Policy and our Terms of Service concerning the collection, processing, or disclosure of personal information, this Privacy Policy controls. By accessing or using any of the Services, you acknowledge the practices described in this Privacy Policy.
## 1. Information We Collect
### Account and contact information
We may collect:
- Name
- Email address
- Telephone number
- Password and authentication information
- Account type and role, such as worker, office, administrator, or owner
- Communication preferences
- Account approval, verification, and status information
Passwords are handled through our authentication provider. We do not display users' passwords to other users.
### Worker profile and professional information
Workers may provide:
- Profile photograph
- City, state, and general service area
- Professional role and years of experience
- Resume and employment history
- Professional licenses and certifications
- Photo identification
- Availability and scheduling information
- Professional specialties, procedures, and software experience
- Other profile information, documents, or notes submitted for staffing and verification
The Service is not intended for storing patient records or protected health information. Users should not upload patient names, patient files, treatment records, or other patient health information.
### Dental office information
Dental offices may provide:
- Practice or office name
- Business address and service location
- Office contact name, email address, and telephone number
- Practice type and office software information
- Staffing needs, scheduling details, pay rates, and request notes
- Information submitted for office approval and account administration
### Staffing, application, and interview information
We collect information generated when users interact with staffing opportunities, including:
- Shift and position requests
- Application, offer, counteroffer, acceptance, decline, cancellation, and assignment activity
- Interview and working-interview activity
- Dates, times, rates, locations, request status, and related notes
- Placement and assignment history
- Records showing when contact information was requested, authorized, or shared for an interview
When a worker chooses to share interview contact information, the office may receive the worker's selected telephone number or account email address. We may retain a record of the request, authorization, disclosure, and related timestamps for safety, administration, dispute resolution, and enforcement of our agreements.
### Billing and administrative records
The Service may create or display:
- Estimated staffing fees
- Invoice amounts and statuses
- Invoice, due, sent, paid, or late dates
- Placement-fee and working-interview-fee records
- Related administrative notes
The current version of the mobile app does not collect or process payment card or bank account information. Staffing payments are handled outside the app through arrangements between Hygienist Solutions and its clients.
If you make a payment or purchase through our website, Shopify and the applicable payment provider may collect or process billing addresses, payment card or financial account details, payment confirmations, transaction details, purchased items, returns, exchanges, or cancellations. Hygienist Solutions generally does not receive complete payment-card numbers from payment processors.
### Website, store, and communications information
When you visit or interact with our website or online store, we or Shopify may collect:
- Name, email address, telephone number, billing address, and shipping address
- Website account information, preferences, and settings
- Products or services viewed, placed in a cart, purchased, returned, exchanged, or canceled
- Information submitted through contact, payment, support, or other website forms
- Communications sent to us
- Device, browser, network, IP address, and online identifiers
- Website navigation, interaction, and usage information
- Information collected through cookies and similar technologies
This information may be collected directly from you, automatically through the website, from Shopify and other service providers, or from partners and third parties as permitted by law.
### Files, photos, and calendar information
With your permission or selection:
- You may choose photographs or documents from your device to upload as profile photographs, resumes, Photo ID, licenses, or certifications.
- You may add scheduled shifts to your device calendar.
The Service uses Apple-provided selection and permission controls. It does not require continuous access to your entire photo library or calendar. You can change device permissions in iOS Settings.
### Device and technical information
We may collect limited technical information needed to operate and secure the Service, including:
- Account and internal user identifiers
- Push-notification device tokens
- App installation identifiers
- App bundle and notification environment information
- Request timestamps, server logs, error information, and security events
- Session and authentication tokens
Authentication credentials and session tokens may be stored securely on the device using Apple Keychain services.
We do not use the app to collect precise GPS location. City, state, postal code, office address, and shift location information may be entered by users as part of their profiles or staffing requests.
## 2. How We Use Information
We use information to:
- Create, authenticate, maintain, and secure accounts
- Review and approve worker and office accounts
- Verify worker qualifications and professional documents
- Match workers with staffing opportunities
- Process applications, offers, interviews, assignments, cancellations, and placements
- Show authorized users the information needed to evaluate or manage a staffing request
- Send account, staffing, application, interview, assignment, cancellation, and administrative notifications
- Maintain staffing, placement, billing, invoice, and contract records
- Provide support and respond to questions
- Detect misuse, fraud, unauthorized access, and contract violations
- Investigate complaints and resolve disputes
- Comply with legal, regulatory, accounting, and contractual obligations
- Maintain and improve the reliability and security of the Service
- Operate, personalize, maintain, and improve our website and online store
- Process website purchases, payments, returns, exchanges, and other transactions
- Fulfill orders and arrange shipping where applicable
- Remember preferences and items of interest
- Communicate about accounts, orders, services, and support requests
- Send marketing or promotional communications where permitted by law
- Measure website performance and understand how visitors use the website
The mobile app does not use personal information for third-party targeted advertising.
Our Shopify-powered website may use cookies, advertising tools, or Shopify features that personalize content or advertising based on website activity. Depending on applicable law, some of these activities may be considered a "sale," "sharing," or targeted advertising even though personal information is not exchanged for money. Available opt-out rights are described in Section 7.
## 3. How Information Is Shared
We may disclose information as follows:
### Between authorized Service users
Information may be shared with workers, offices, administrators, or owners when needed for an application, interview, staffing request, assignment, placement, billing matter, or account review.
Access depends on the user's role and the stage of the staffing workflow. Worker identity, professional information, documents, and contact information are disclosed only through authorized app workflows or administrative processes. Users must not use information obtained through the Service for unauthorized solicitation, discrimination, harassment, identity misuse, or circumvention of agreements with Hygienist Solutions.
### Service providers
We use service providers to host and operate the Service. These may include:
- Supabase for authentication, database hosting, file storage, and server-side functions
- Apple for app distribution, device permissions, Keychain, calendar integration, and push notifications
- Shopify for website and online-store hosting, transactions, website analytics, personalization, and related commerce services
- Payment processors, shipping or fulfillment providers, customer-support providers, cloud providers, and other vendors needed to operate the Services
These providers process information on our behalf or under their own applicable terms and privacy policies. We require service providers to protect information appropriately and use it only for permitted services.
### Shopify
Information submitted through or generated by the website may be transmitted to and processed by Shopify and its service providers in the United States or other countries. Shopify may combine information about interactions with our store with information from interactions with Shopify or other merchants to provide and improve Shopify services and enhanced features.

No electronic transmission or storage system is completely secure. We cannot guarantee absolute security, and users are responsible for maintaining the confidentiality of their passwords and devices.

- Revoke photo-library or calendar permission in iOS Settings
- Request access to, correction of, or deletion of personal information
- Request a portable copy of certain personal information
- Opt out of certain website marketing communications
- Opt out of activities considered a sale, sharing, or targeted advertising under applicable law
Marketing emails may include an unsubscribe link. Opting out of promotional messages will not prevent necessary account, transaction, staffing, security, or service communications.
To exercise a privacy request, contact us using the information in Section 14 or use privacy controls provided on our website. Rights are not absolute and may vary by location. We may need to verify your identity and may request proof that an authorized agent is permitted to act for you. We will not discriminate against you for exercising an applicable privacy right.

## 8. Account Deletion
You may request deletion of your account and associated personal information by contacting us at **hygienistsolutions@gmail.com**. Include the email address associated with the account and state that you are requesting account deletion.
We will verify the request and delete or de-identify information that we are not legally or operationally required to retain. Deleting an account may not immediately remove information from backups, completed staffing records, invoices, fraud-prevention records, legal records, or records retained to protect the rights of Hygienist Solutions and its users.
## 9. Third-Party Websites and Links
The Services may link to websites, social networks, payment services, or other platforms operated by third parties. Their privacy and security practices are governed by their own policies. We are not responsible for the content, privacy, accuracy, or security of unaffiliated third-party services. A link does not necessarily mean that Hygienist Solutions endorses the third party.
Information posted in public or semi-public areas or on third-party social platforms may be visible and used by others.
## 10. Children's Privacy
The Service is intended for dental professionals, dental offices, and authorized business administrators. It is not directed to children under 18, and we do not knowingly collect personal information from children under 18. If you believe a child has provided personal information, contact us so we can investigate and take appropriate action.
## 11. No Patient Information
The Service is a staffing platform and is not designed to receive, maintain, or transmit dental patient records or protected health information. Users must not submit patient information through profiles, resumes, documents, messages, request notes, or support communications.
## 12. International Processing
The Services are operated from the United States. Information may be transferred to, processed, or stored in the United States and other countries where our providers, including Shopify and Supabase, operate. Privacy laws in those countries may differ from those in your location.
Where required, providers may rely on recognized transfer mechanisms, such as adequacy decisions or standard contractual clauses, for transfers from the European Economic Area, United Kingdom, or other jurisdictions.
## 13. Changes to This Privacy Policy
We may update this Privacy Policy to reflect changes to the Service, our practices, or legal requirements. We will update the "Last updated" date when changes are posted. If a change is material, we may provide additional notice through the app, by email, or through another appropriate method.
